If you need a spreadsheet to track your income and expenses for Making Tax Digital, you can download our free simple template. It is designed for a straightforward sole-trader business or UK-property source with annual turnover below £90,000, and it also works as a standalone record-keeping spreadsheet.
What's in the template
The template includes:
- Income sheet, log each payment you receive with date, description, and amount
- Expenses sheet, log each expense with date, description, category, and amount

Using your own spreadsheet
You don't have to use our template. Flonancial's current quarterly format works with any spreadsheet that contains one income total and one total for expenses. When you upload, you simply click the cells containing those figures. The template just makes it faster by providing a flo tab that flonancial reads automatically. If the annual turnover for the business or property source is £90,000 or more, do not use this format because HMRC expects expense categories.
Tips for keeping MTD-ready records
- Record every transaction, date, amount, and a brief description. HMRC requires you to keep records of each individual transaction, even though you only submit totals.
- Keep it current, update your spreadsheet weekly or after each transaction. Quarterly submissions are quick when your records are already up to date.
- Separate business and personal, if you use one bank account for everything, make sure your spreadsheet clearly distinguishes business transactions.
- Back it up, keep copies in cloud storage (OneDrive, Google Drive, Dropbox). You need to retain records for at least 5 years after the filing deadline.
What HMRC expects from your records
Your digital records must include:
- The date of each transaction
- The amount
- A brief description or categorisation
A well-maintained spreadsheet meets all of these requirements.
Why is flonancial free? What's the catch?
There isn't one. Your spreadsheet is parsed in your browser, the file never touches our servers. HMRC's API is free to use. We never see your individual transactions or bank details, we don't sell your information, and we don't show you ads. The mandatory MTD pieces, quarterly updates and the year-end tax return, will always be free.
